Bundles

A bundled dining table set of a table, four chairs and a leaf extension

A Bundle turns a single inventory item into an assembly, package, or set made up of other inventory items, called component items. When you rent or sell the bundle item, its components come along with it automatically, and their combined quantity, price, and replacement value roll up into the bundle.

Example: a "Dining Set" bundle made of a table and four chairs with an optional leaf extension for the table.

tip

These three features sound similar but do different things:

  • Bundles - one item is made of other items; renting or selling the bundle always includes its components (this article)
  • Companions - separate items that cross-sell together on your webstore; nothing is added automatically
  • Accessory Kits - optional sets of accessories that you choose per line item on an order, rather than being permanently built into the item

Key Concepts

  • Manage a bundle's component items on the Edit Item modal's Advanced tab, in the Components section
  • A component item is any other inventory item in your catalog; it can't itself be a bundle
  • Each component has its own quantity, rate, and replacement price, independent of the parent bundle item
  • Mark a component Optional? to give it an on/off toggle with a fixed Default Quantity on orders, instead of a free-form quantity field
  • A bundle's price, replacement price, and item count are running totals calculated from its components
  • When a bundle item is added to an order, its components come along as a snapshot; editing them on the order only affects that one line item, not the parent item

Creating a Bundle

We are going to combine these four items into a bundle.

Bundled Items

Open the item you want to turn into a bundle (e.g. the table and chairs set), go to the Advanced tab, and use the Components section to add component inventory items.

Edit Item Bundle Components

Search for and select any existing inventory item to add it as a component.

Add Component

A few rules apply:

  • An item can't have itself as a component
  • A component can't itself be a bundle (no nesting)
  • The same item can't be added twice as a component to the same bundle
  • Component items should use the same purchase type family (rental vs. for sale) as the parent bundle item
  • If the item you're adding has its own Accessory Kits, you'll be asked to confirm before adding it, since those kits aren't carried over into the bundle

Component Item Fields

Add Component Form

Each component has its own settings, separate from the parent bundle item:

FieldDescription
QuantityHow many of this component are included in one bundle
Unit PriceThe rate charged for this component, factored into the bundle's total price
Inherit Price Changes? When enabled, this component's rate automatically follows the underlying item's price instead of being set manually
Hide on Website?Hides this component from the bundle's component list on your Propcart Pro Webstore
Hide on Quote?Hides this component from the bundle's component list on quotes
Hide on Order?Hides this component from the bundle's component list on order paperwork, like Checkout and Pickup Sheets
Hide on Invoice?Hides this component from the bundle's component list on invoices
Optional?Shows an "Optional" badge and unlocks the Default Quantity When Included field described below

Edit Component Form

The Max column next to each component is the underlying item's own available quantity in stock, which caps how high you can set that component's quantity.

Quantity, Unit Price, and the four Hide on [X] fields can all be edited both from the parent item and from an individual order's line item. Hide on Website?, Optional?, and Default Quantity When Included are parent-item-only settings, since they only make sense for the item as a whole; from an order, you can only toggle an already-optional component with the Include Option? checkbox described below.

Optional Components

Edit Optional Component

Some bundle components aren't required, e.g. a leaf extension for this table set. Mark a component Optional? to show an "Optional" badge, and set a Default Quantity When Included.

This does two things:

  • The component keeps its own Quantity, which is what actually counts toward the bundle's totals. Leave it at 0 on the parent item so the component isn't included by default.
  • On an order, instead of typing a quantity by hand, the salesperson sees an Include Option? checkbox for optional components. Checking it sets the quantity to your Default Quantity all at once; unchecking it sets it back to 0. The quantity can still be adjusted afterward if the order needs a different amount than the default.
info

Optional components and their Default Quantity are only configured on the item's own bundle, from its Edit Item modal. You can't mark a component optional from within an order — only toggle Include Option? for components that were already marked optional on the parent item.

Bundle Pricing & Totals

A bundle keeps running totals across all of its components:

  • Item Count - the sum of every component's quantity (a piece count, not a price)
  • Price - the sum of quantity × rate across all components
  • Replacement Price - the sum of quantity × replacement price across all components

These totals appear below the components list once you've added at least one component, next to the parent item's own Rental Price / Sale Price and Replacement Price so you can compare them. A colored percentage appears when they don't match, showing whether the components' combined total is higher (green) or lower (red) than what you're charging for the bundle item itself.

Whenever a component's quantity or price changes, you'll be asked whether to update the parent item's price to match the new bundle total. Enable Bind Bundle Price to Item in your Inventory Settings to skip that confirmation and have it happen automatically.

Bind Bundle Price to Item Price? setting

The bundle's Max total is the maximum number of the bundle item you can currently sell or rent at once, based on each component's own stock. It's calculated by dividing each component's available quantity by how many of it one bundle needs, then taking the smallest result across all components. Optional components that aren't currently included (quantity 0) don't limit this number.

Bundles on Orders

When a bundle item is added as a line item on an order, its components come along as a snapshot of the item's bundle at that moment. From there:

  • Editing a component's quantity, price, or Include Option? toggle on the order only changes that one line item — it doesn't touch the parent item's bundle
  • The line item's total price, replacement price, and item count update immediately to reflect any changes
  • Optional components can be toggled per order using the Include Option? checkbox described above

Line Item without the optional leaf

Before including the option

Include the optional leaf

Click the optional component to open the Edit Component modal and check the Include Option? checkbox to include it in the bundle, then click the Save button.

Including the option

After including the option

This lets you keep a bundle's default configuration on the parent item while still adjusting individual orders as needed, e.g. leaving out an optional accessory for one client's shoot.
