Inventory Reports

The Inventory Reports section of your Reports Page has one on-screen report and six spreadsheet downloads. Each download is a CSV file that you can open in Excel, Numbers, or Google Sheets.

Idle Inventory Report

View Report

Lists inventory that hasn't been active since a given date (like over a year ago), so you can spot items to feature, discount, or retire.

An item's last activity is the most recent of:

  • the return date of its latest rental
  • the pickup date of its latest sale
  • the date the item was created

The report shows every item whose last activity is before the date in the filter bar, with the longest-idle items first.

You can filter the report by

  • Date: defaults to one year ago. Move it forward to widen the list, or back to see only items that have been idle the longest.
  • Visibility: defaults to your public visibilities (Featured, Public - High, Public, Public - Low, and Public - Bottom), so private and retired items are left out. See Visibility.

Click an item to open it. Use the menu next to the report title to print the report, or choose Export Spreadsheet to download every item in the report as a CSV file. The spreadsheet includes each item's SKU, title, visibility, last active date, days idle, department, category, subcategory, quantity, price, replacement price, bin location, consignor, created date, and links to the item and its photo.

Download Item Tag Counts

Counts how many items use each tag in your catalog.

The spreadsheet has two columns: tag and count. Sort by count to find tags that are overused, or tags used on only one or two items that may be typos or duplicates of another tag.

Download Item Tag Counts without colors, eras, materials, rooms or styles

The same tag counts, with color, era, material, room, and style tags filtered out so you can focus on descriptive tags.

Download Category Schema Counts

Counts items in each department, category, and subcategory defined in your category schema, based on tag matches only.

An item counts toward a department if it has a tag matching the department's name, toward a category if it also has a tag matching the category's name, and toward a subcategory if it also has a tag matching the subcategory's name. Because tags decide the count, one item can be counted in more than one department or category.

Every entry in your category schema gets a row, including those with a count of zero. Use this report to find empty or sparse catalog pages before you publish your category schema.

ColumnDescription
DepartmentDepartment name
CategoryCategory name, or blank on a department row
SubcategorySubcategory name, or blank on a department or category row
CountsNumber of items with matching tags
Webstore URLThe catalog page on your webstore

Download Assigned Category Counts

Counts items by the department, category, and subcategory actually assigned to them, and flags any that no longer match your current category schema.

Unlike Category Schema Counts, this report ignores tags. Each item is counted once, under the department, category, and subcategory set on the item.

ColumnDescription
DepartmentAssigned department, or blank if none
CategoryAssigned category, or blank if none
SubcategoryAssigned subcategory, or blank if none
CountsNumber of items with this assignment
Exists?false if this department, category, or subcategory is not in your current category schema
Webstore URLThe catalog page on your webstore
Dashboard URLOpens your Dashboard inventory list filtered to these items

Filter the Exists? column to false to find items still assigned to a category you renamed or removed. Open the Dashboard URL to see those items and reassign them.

Download Items Not in Category Schema

Lists each item whose assigned department, category, or subcategory doesn't match your current category schema, so you can find and reassign it.

Where Assigned Category Counts gives one row per department, category, and subcategory combination, this report gives one row per item. Items with no department, category, or subcategory are left out. An item with only a department, or only a department and category, is left out as long as those match your category schema.

Rows are sorted by department, category, and subcategory, so items with the same mismatch are grouped together.

ColumnDescription
SKUThe item's SKU
Item IDThe item's ID
TitleThe item's title
DepartmentAssigned department, or blank if none
CategoryAssigned category, or blank if none
SubcategoryAssigned subcategory, or blank if none
ProblemWhich part of the assignment doesn't match (see below)
Dashboard URLOpens the item in your Dashboard

The Problem column is one of:

  • Department not in category schema: no department in your category schema has this name.
  • Category not in this department: the department exists, but has no category with this name.
  • Subcategory not in this category: the department and category exist, but the category has no subcategory with this name.
  • Category or subcategory set without a department: the item has a category or subcategory but no department.
  • Subcategory set without a category: the item has a department and subcategory but no category.

Names must match your category schema exactly, including capitalization and spacing.

If every item matches your category schema, the download shows a message instead of a spreadsheet.

Download Bundles

Exports your package/bundle items along with their individual components. See Bundles.

Each bundle has one row for the package itself (isPackage is true), followed by one row per component. Every row repeats the package's SKU and title, so you can sort or filter by package.
