HubSpot Integration

Want your Propcart users and newsletter subscribers to show up automatically as Contacts in your HubSpot CRM?

Propcart offers a HubSpot integration that keeps your HubSpot contacts in sync with what happens on your Propcart Pro Webstore — without you having to export or import anything by hand.

This guide explains how to connect it. It should take about five minutes.

What gets synced

Once connected, you can turn on any combination of these five events:

  • New user registers — creates a HubSpot contact when someone creates a user account on your webstore
  • New newsletter subscriber — creates a HubSpot contact when a visitor signs up to your webstore footer newsletter
  • User profile updated — updates the HubSpot contact's name, phone, job title, company, and address when a user changes their profile
  • Newsletter unsubscribe — marks the HubSpot contact unsubscribed
  • User account deleted — marks the HubSpot contact unsubscribed
info

Propcart never deletes a contact from your HubSpot account, even when a Propcart user deletes their own account or your staff remove them from the Dashboard. Deleting is a decision only you should make inside HubSpot — Propcart only ever marks a contact unsubscribed.

Step 1: Create a HubSpot service key

Propcart connects to HubSpot using an account service key, not the "Connect to HubSpot" style login you may have seen with other tools. This means the whole setup happens inside your own HubSpot account — you generate a key and paste it into Propcart, similar to how the Mailchimp Integration works. Nothing needs to be approved or installed from the HubSpot Marketplace.

  1. Log into your HubSpot account.
  2. Click the settings gear icon in the top navigation bar.
  3. In the left sidebar, go to Development.
  4. Under Keys, select Service keys.
  5. Click Create service key in the top right.
  6. Give it a name you'll recognize later, like "Propcart Integration".
  7. Click Add new scope, then use the Find a scope search bar to select:
    • crm.objects.contacts.read
    • crm.objects.contacts.write
    • crm.schemas.contacts.write
  8. Click Update, review your selections, then click Create in the top right and confirm.
  9. HubSpot shows you the service key once. Copy it now.
info

The crm.schemas.contacts.write scope lets Propcart create three small custom contact fields it needs (propcart_source, propcart_newsletter_subscribed and business_unit) the first time it syncs a contact. You won't need to create these yourself — Propcart sets them up automatically.

info

Unlike a token from an OAuth-style "Connect to HubSpot" flow, a service key doesn't automatically expire. HubSpot recommends rotating it about every six months as a security best practice — you can do this anytime from the key's details page under Development > Keys > Service keys in HubSpot, using the Rotate option, without any downtime.

Step 2: Add the service key to Propcart

  1. Go to Settings > Integrations in your Propcart Dashboard.
  2. Scroll to the HubSpot Integration section.
  3. Paste the service key from Step 1 into the HubSpot Service Key field.
  4. Click Test Connection to confirm HubSpot accepts the key before you save.
  5. Toggle on whichever of the five events (listed above) you want enabled. Every toggle stays off, and disabled, until a service key is entered.
  6. Click Save.

That's it — Propcart will start syncing on whichever events you enabled.

Rotating your service key

If you rotate your service key in HubSpot (recommended every six months, or immediately if you think it's been compromised), come back to Settings > Integrations > HubSpot Integration in Propcart, paste in the new key, and click Save. Syncing will pause if the old key stops working before you update it here.

Disconnecting

To stop syncing, either:

  • Clear the service key field in Settings > Integrations > HubSpot Integration and click Save, or
  • Delete the service key from Development > Keys > Service keys in your HubSpot account, which immediately invalidates it.

Either way, no contacts already in HubSpot are removed — disconnecting only stops future syncing.
