Consignors
A consignor is the person or business that owns items you hold on consignment. You rent or sell their items as part of your normal inventory, then pay them a share of the revenue.
Settings
Before you add consignors, review your Consignor Settings.
| Setting | What it does |
|---|---|
| Has Consignors? | Turns the Consignment section on. Nothing below matters until this is enabled. |
| Require Consignor Assignment for Rentals? | Makes the Consignor field required when you create or edit a rental item. Turn this on if all of your rental inventory is consigned. |
| Next Statement Number | The number given to the next statement you create. Change it rarely. Propcart auto-increments this number for you after creating each statement. |
| Share only the first week? | Shares revenue on the first week's rental value only, and keeps 100% of any additional weeks. |
| Statement Variance Email | Where the daily variance summary is sent. See Statements. |
Create a Consignor
Go to your Consignors page and click the blue New Consignor button.
Only the consignor's name is required. You'll usually also want:
- Tax ID — you'll need this at tax time if you're issuing payment documents
- Address — appears on the statement PDF you send them
- Private Notes — never shown to the consignor
Contacts
Add a contact for each person at the consignor you correspond with.
Contact email addresses are used to pre-fill the recipient list when you email a statement, so at minimum add the person who should receive statements.
Contracts
A contract records the commercial terms you agreed to. Contracts are the reason Propcart can calculate a statement for you, so add one before you create any statements.
| Field | What it means |
|---|---|
| Start Date | When these terms take effect |
| End Date | Optional. Leave blank for an open-ended agreement |
| Rev Share % | The consignor's share of revenue. 60 means the consignor keeps 60% and you keep 40% |
| Base Fee | A flat fee you deduct each statement period, for things like storage or catalog space |
| New Item Fee | A per-item fee you charge for each item added during the statement period, for things like photography and data entry |
| Private Notes | Never shown to the consignor |
When you create a statement, Propcart pre-fills the rev share and fees from the consignor's most recent contract that has started. If you renegotiate terms, add a new contract with a new start date rather than editing the old one — that way past statements still reflect the terms that applied when they were issued.
Assign Items to a Consignor
An item earns revenue for a consignor only if it's assigned to them.
Open the item, go to the Advanced tab and set the Consignor field.
Assign the consignor before the item starts renting. Revenue is attributed using the item's consignor at the time a statement is calculated, so assigning a consignor late — or moving an item from one consignor to another — changes what past statements would show.
Consignor Tabs
Each consignor record has three tabs:
- Items — every inventory item assigned to this consignor
- Line Items — every order line for those items, so you can see what's out and what's been returned
- Statements — every statement you've issued them
Consignor Totals
The consignor's summary shows a running total across all of their statements: total revenue, their share, your share, how much you've paid them and the outstanding balance.
These totals are rolled up from the statements themselves, so they only reflect statements you've captured.
